This guide is for dispatchers and admins who send deliveries out with our own drivers and keep the driver list up to date. You'll need the Courier Dispatch permission to assign drivers and manage the roster, and Courier Write (or Dispatch) to book a delivery. Everything lives under Procurement & Logistics › Couriers.
The Internal Dispatch board
Procurement & Logistics › Couriers › Internal Dispatch is your cockpit for own-driver deliveries. It shows every active delivery and can be viewed three ways with the toggle at the top:
- Lanes — grouped by status: Unassigned (needs a driver), Assigned, In transit, Delivered today, Exceptions.
- By driver — a group per driver, plus an unassigned pool, so you can balance loads.
- Map — a pin per delivery, coloured by status, so you can see where everything is.
Search, Refresh, and Book a delivery sit in the toolbar.
Suggested runs — combine nearby deliveries
When several unassigned deliveries are close together, the board shows a Suggested runs strip at the top — for example "3 · Century City — 3 unassigned stops within 3 km". Each suggestion is a cluster of nearby stops that make sense to send out together.
Click Assign run, pick one driver (and optionally a time window), and the whole cluster is assigned in one action. This is the quickest way to keep trips efficient — one driver, one area, one run.
A stop with no map pin? A delivery booked without a Google address won't cluster or show on the map. On its card, click Set map location, start typing the address, pick the Google suggestion, and Save location. It now has a pin and will join suggested runs and the driver's route.
Assign or reassign a single delivery
You don't have to use a suggested run. On any card, use Assign driver (or Reassign) to give one delivery to a driver, with an optional scheduled window. The chosen driver is notified and the delivery appears in their My Deliveries. Reassigning later works the same way.
Book a delivery
There are two ways to create an internal delivery — both end up as a WB-… consignment with an ICD… waybill, status Booked:
- From the board — click Book a delivery, fill in where it's going (start typing the street for Google address suggestions, which also drops an exact map pin), optionally assign a driver right away, and book. Use this for ad-hoc deliveries not tied to another document.
- From a document — on a Sales Shipment, Purchase Order, Local Receipt or Local Shipment admin screen, use Record / book courier, choose the carrier "Internal (own drivers)", enter where it's going, and save. The delivery is linked to that document.
Keep the driver roster current
Open Couriers › Courier Drivers — the list of people who can be given internal deliveries.
- Enrol driver — pick any mywork user, add an optional contact number / note, and save.
- Activate / Deactivate — only active drivers can be assigned. Deactivating keeps their history but removes them from the picker.
A driver also needs the Courier Driver permission to open My Deliveries and work their jobs. Enrolling them on the roster makes them assignable; the role lets them act.
Follow it to completion
The driver drives the rest — Collected → In transit → Delivered (with a required signature). Watch progress on the board: cards move between lanes as the status changes, the Delivered today lane fills up, and every completed waybill carries the signed proof of delivery. Print waybill is available on each consignment.
Who can do what
- Courier Dispatch — assign / reassign (incl. suggested runs), set map location, manage the driver roster.
- Courier Write — book or record a courier (incl. an internal delivery).
- Courier Admin — full courier access (carrier accounts, etc.).
- Courier Driver — the driver's own My Deliveries (see the driver guide below).
