What this guide covers

Booking, recording and tracking couriers in myWork — for goods going out and goods coming in. "Courier" is not a synonym for "Aramex": Aramex is one of several carriers behind the same screens, and everything below works the same whichever one you pick.

Every courier job is stored as a consignment with its own myWork reference, WB-00000123. The carrier's own waybill number is kept beside it, and you can search on either.

How a courier booking works in myWork

Where to find it

Procurement & Logistics → Couriers:

  • Couriers — the list of every consignment (the page is titled Waybills).
  • Internal Dispatch — the board for jobs going to our own drivers.
  • Courier Drivers — the internal driver roster.
  • Courier Tools — rate calculator and track-any-waybill, neither of which creates a record.
  • Courier Report — consignment counts and spend by date, carrier, status and direction.
  • Courier Accounts — carrier credentials and label settings (admins only).

Drivers get their own screen at Shipping & Receiving → My Deliveries.

Who can do what

  • View (CourierRead) — see the Waybills list, open a consignment, follow its tracking.
  • Book and record (CourierWrite) — book a courier, record someone else's waybill, request a rate quote, cancel, mark delivered.
  • See prices (CourierRateRead) — rand values on the service picker, quotes and consignment cost. Without it you can still book; you just don't see the money.
  • Dispatch (CourierDispatch) — assign internal jobs to our own drivers and manage the driver roster.
  • Driver (CourierDriver) — your own deliveries only, plus proof of delivery.
  • Admin (CourierAdmin) — carrier accounts and credentials.

You book a courier from the document, not from the courier list

A courier always belongs to the record the goods belong to, so that the floor can find it from the record they are already working on. Book courier and Record waybill sit on the detail page of:

  • Local Receipt — goods coming in
  • Local Shipment — goods going out
  • Sales Shipment — customer dispatch
  • Purchase Order (myWork) — supplier delivery
  • External Service Order — parts to and from a subcontractor

The Waybills list can also raise an ad-hoc consignment that belongs to no document, for one-off parcels.

The document has to be Placed

The buttons only appear once the record is at a state where a courier means something:

  • Local Receipt, Local Shipment, Sales ShipmentPlaced.
  • myWork Purchase OrderPlaced or Receiving.
  • External Service OrderPlaced, Partially Dispatched, Dispatched or Partially Returned.

A draft has nothing to send yet — its lines, quantities and address can all still change — and a finished document has stopped moving, so a booking against it is almost always somebody on the wrong record. If the button is missing, check the status first.

Local Shipments, Sales Shipments and Local Receipts carry one live courier at a time. Those goods move once; a second consignment would mean a second collection and a second cost for one parcel. External Service Orders and Purchase Orders can carry several, because their goods legitimately arrive in more than one delivery. Cancelling or delivering a consignment releases the document, so re-booking after a cancellation is normal.

Book courier, or record a waybill?

Book courierwe are paying. The wizard opens pre-filled from the document: the counterparty's name and address, the parcels sized from the products on the lines. Check it, pick the carrier and service, and submit. myWork calls the carrier, stores the waybill and schedules the collection.

Record waybillsomeone else booked it, typically a supplier sending you stock or a customer returning a unit on their own account. Pick the carrier, type the waybill number, save. myWork tracks it and shows it on the record, but books nothing and pays nothing. This is available even where booking is not, because it is a note about reality rather than an instruction to a carrier.

Direction: which end is ours

Every consignment is either outbound or inbound, and that is what decides which address goes on which leg:

  • Outbound — we are sending. Our branch is the sender; the customer or supplier is the receiver.
  • Inbound — we are fetching. The customer or supplier is the sender; our branch is the receiver.

Getting this backwards sends the driver to our own warehouse to collect goods that are sitting at the customer, so check the direction on the booking screen before you submit. A Local Receipt is always inbound; a Local Shipment or Sales Shipment is always outbound; an External Service Order is outbound going out and inbound coming back.

Following a consignment

Open a consignment from the Waybills list — by its WB-… reference, by the carrier's waybill number, or from the Linked to column, which shows the receipt / shipment / order it belongs to and opens it in one click.

The detail page shows the status timeline, the parcels, both addresses, every linked document and the consignment's own chat channel.

  • Track asks the carrier for new events and adds them to the timeline.
  • Print waybill gives you the label — Download for the PDF (always available), or Print via service to send it straight to a LAN label printer.
  • You can also mark a consignment delivered, or cancel it, by hand.

Status runs Draft → Rated → Booked → Collected → In transit → Delivered, with Exception when something goes wrong and Cancelled when it is called off. It only ever moves forward, and Delivered and Cancelled are final — tracking stops there.

Which carriers

  • Aramex — see Aramex for that carrier's specifics.
  • The Courier Guy — the second domestic carrier.
  • Internal — our own drivers and vehicles. See Internal courier deliveries (overview).
  • Manual — a carrier with no API. myWork creates the consignment and tracks it, and the waybill number is filled in by hand once the carrier gives you one.

Credentials, the default sender address and the label source live per carrier under Courier Accounts — never in the code — so adding or switching a carrier does not change any of the screens above.

Tips and gotchas

  • Search finds both numbers. The Waybills search matches our WB-… reference and the carrier's waybill, so it does not matter which one the person on the phone is quoting.
  • Parcel sizes come from the product. myWork sizes parcels from each product's stored weight and dimensions. If a product has none recorded, the parcel falls back to a default size — fine for a small item, worth checking for anything bulky, because carriers bill on volumetric weight.
  • A waybill number is worth protecting. Some carriers serve the label PDF to anyone who knows the number.
  • Booking failures are reported, not hidden. If the carrier refuses (a bad postcode, an incomplete address, a suspended account), the reason is shown on the record and the booking is not counted. Fix the field and try again.
  • Rate quotes create nothing. Courier Tools compares carriers without touching a record — use it before you commit to a service.
