What this guide covers
Building a Local Shipment to send stock out — to a customer, between warehouse locations, or to an internal staging area. Local Shipments are the intra-org analogue to Sales Shipments: same picking and dispatch mechanics, but myWork owns the record end to end (nothing syncs to Unleashed).
For customer-facing dispatch off a sales order see Sales Shipments. For parts going to a subcontractor see External Service Orders (paint, cutting & outside services).
Where to find it
Two screens, for two jobs:
Shipping & Receiving › Local Shipments — the floor version, built for a phone: collect the lines and dispatch.
Procurement & Logistics › Local Shipments — the desktop management list: filter by status, reference, category or customer, and open a record.
The management list has no action buttons on the rows. It is there to find a shipment. Everything that changes one — Edit, Park for editing, Place shipment, Delete, courier — lives on the shipment's own page, reached by clicking the shipment number or Open. That is deliberate: the actions depend on each other and on the current status, and a row shows you neither the lines nor what has already been collected.
The three states, and how you move between them
A shipment is Parked (a draft you can change), Placed (committed and on the floor's queue), or Dispatched (gone). This is the part worth understanding, because it decides when you can edit:
A Placed shipment cannot be edited
This is the rule that catches people out. Once a shipment is Placed it is a commitment: it has reserved the stock, the floor can see it, and someone may already be picking it. So the Edit button is greyed out.
To change one, use Park for editing on the shipment's page. That returns it to Parked, you make your change, and then you Place shipment again — which re-checks that the stock is still actually collectable.
Parking is refused in two cases
Stock has already been collected for it. The message tells you what is staged and where. Nothing is silently undone — if a picker has already fetched the units, that has to be dealt with first.
A courier is already booked. A booked waybill commits a parcel count and weight to the carrier, and there is no way to amend that after the fact.
Park it only if you are editing it now
While a shipment is parked, stores cannot collect or dispatch it. If a customer is already driving in to fetch it, or a courier is due to collect, they will be turned away until you place it again. The system cannot see that someone is on the road — so park, edit, and re-place in one go rather than leaving it parked.
Creating a shipment
Click New Local Shipment.
Fill in Category (required) and Item Reference (earmarked stock) (required) — these are what the picking dialog uses to find the earmarked stock.
Add product lines via the search box: pick the product, enter the qty.
Click Save. The shipment lands in Parked, ready to be edited. Place it before collecting — stock can only be picked onto a Placed shipment.
For legacy shipments missing Category / Item Reference, open the shipment, click the three-dot menu in the action bar and choose Edit metadata (category / item ref) to backfill them. Like any other edit, that needs the shipment to be Parked.
Choosing WHICH serial numbers to send
On a line for a serialised product, the edit dialog has a Serial number(s) to send column. This exists because a product code and a quantity cannot say which physical unit ships — and sometimes that is the whole question. The case that prompted it: two identical loggers came back from one repair job, one belonging to the customer and one belonging to us. "Send 1" does not say which one.
How it behaves:
If the number of collectable units equals the line's planned quantity, the picker opens with all of them already ticked — because that is what the shipment sends today. Untick any unit you are not sending. On a line with a hundred serials this is one click, not ninety-nine.
If they differ — say five units are collectable for a line of two — there is no honest default, so the picker opens empty and you tick the ones to send.
The quantity follows the serials. Untick one of seven and the planned qty becomes six; you do not adjust it separately.
Leaving every collectable unit ticked means "any of these will do" — no constraint is stored.
Once a line names its serials, they are enforced, not advisory: the collect picker refuses any other unit, and dispatch consumes exactly those. The committed serials show on the shipment page, on the floor card so the collector knows which unit to fetch, and on the Delivery Note PDF so the recipient can check the parcel.
You can only commit a serial that is actually collectable under the shipment's category and item reference. If you name one that is not, the error lists the ones that are.
Picking and dispatching
From the list, open the shipment and use the floor screen.
The picking dialog opens. For each line:
Pick the source bin from the suggested list.
Enter how much you are collecting from that bin. Multiple bins can fulfil one line.
Click Collect. The stock moves into your personal staging location.
Repeat until every line is fully collected.
Click Dispatch. The system consumes the staged stock and advances any linked Work Order step.
Sending it by courier
A Local Shipment is outbound, so the courier goes out from our branch. On the shipment's page, once it is Placed:
Book courier — we are paying. The wizard opens pre-filled with the destination as receiver and one parcel per line, sized from each product's stored dimensions.
Record waybill — somebody else arranged transport and gave you a number. myWork tracks it without booking anything.
A shipment carries one live courier at a time. Once booked, a waybill tag and Print Waybill appear on the record — on the floor screen too. Booking a courier does not dispatch the shipment; you still collect and dispatch. Note that a booked courier also blocks Park for editing. See Couriers & Waybills for the full flow.
Common errors and fixes
"Shipment … is Placed and cannot be edited. Un-place it first…" — use Park for editing on the shipment's page, make the change, then Place shipment again.
"Cannot un-place …: stock has already been collected for it." — the message names the product, quantity and location. The collected stock has to be returned before the shipment can go back to draft.
"Cannot un-place …: a courier consignment is already booked for it." — cancel the consignment first if the shipment genuinely has to change.
"Cannot place this shipment: not enough collectable stock for … Available to collect: X, needed: Y." — the earmarked stock cannot cover the line. See Why a shipment says "Not enough free stock".
"Cannot commit serial(s) … : not collectable under …" — you named a serial that is not in this shipment's earmarked pool. The message lists the ones that are.
"Cannot collect serial(s) …: this shipment is committed to …" — the picker was pointed at the wrong physical unit. Fetch the committed one, or change the shipment's serials (park, edit, place again).
"Cannot collect more than the planned qty for … — planned X, already collected Y." — the line is already satisfied. Move to the next one.
"This shipment is already being collected by [location]." — a second user tried to start after someone else staged a line.
"This shipment was collected by [location] and must be dispatched from the same location." — go to that location, or have the original collector dispatch.
"Cannot dispatch shipment: product … still has … outstanding units." — finish collecting first.
"Serialized product … must use whole-number quantities." — round to a whole number.
Tips and gotchas
Location-locking is by design. Once anyone collects a single line, the shipment belongs to that physical location until dispatch. Split into multiple shipments if you need parallel collection.
Category + Item Reference decide what is pickable. They are the earmark; changing them changes which stock the picker can see, which is why they can only be changed while Parked.
Stock must be fully collected before dispatch. Partial dispatch is not allowed.
Editing is a round trip. Park › edit › Place. If you park something and walk away, the floor cannot ship it.
