Pending Gear Returns (offboarding)
What this guide covers
When someone is scheduled to leave, the company gear they were issued (laptop, access badge, tools, uniform…) needs to be accounted for. Pending Gear Returns is the screen where HR settles each item before the person's last day.
Who can open it: viewing needs HR read permission; moving gear needs HR write permission.
What you see
The screen lists every scheduled leaver who still has un-reconciled gear. Each leaver is a card showing their last day (with a countdown), the reason, and a table of their pending items — product, origin location, serial, quantity. For each item you set how it came back and move it.
Settling an item
For each item, pick a status, choose a destination where relevant, optionally add a note, then click Move:

| Returned | Handed back in good order. | Moved to the destination location you choose. |
| Damaged | Returned but not reusable. | Moved to the destination location you choose. |
| Missing | Not returned / unaccounted for. | Written off (to the Writeoff location). |
| Consumed | Used up / not a returnable item. | No location move needed. |
Once moved, the item drops off the pending list. Move all returned is a shortcut that settles every item you've marked Returned in one go.
What happens if you don't get to it
This screen is an opportunity, not a blocker. When the leaver's last day arrives, any item still pending is auto-marked Missing and written off, and the leaver is deactivated. So settling gear here keeps the records accurate — but a missed item won't hold up the offboarding.
Good to know
- Returned and Damaged need a destination location; Consumed needs none (the destination field is disabled for it).
- Use the note to record context (e.g. "screen cracked", "badge cut up").
- The countdown tells you how long you have before the auto-Missing sweep runs.
