Employee page: Offboarding an employee
What this guide covers
When someone leaves, the offboarding wizard — launched from the Employment Status tab — walks HR through setting the last day, reconciling issued gear, and ticking off access systems, then schedules (or runs) the deactivation.
Who can do this: starting, editing or cancelling a termination needs HR admin.
The four steps
- Last day & reason — pick the last working day and a reason. Tomorrow or later = scheduled; today = immediate. Tick Already left? to allow a past date (and default gear to Consumed). Optional internal notes.
- Gear reconciliation — for each item the person was issued, set Returned / Damaged / Consumed and a destination location (Consumed needs none). Every row must be resolved before you continue; bulk "mark all returned/consumed" helps.
- Downstream checklist — tick off the access systems: TrueNAS locks automatically on the day if configured and ticked; WiFi/RADIUS and Keycloak are done manually — the checklist is your reminder/acknowledgement.
- Review & confirm — check the last day, gear counts and checklist, then Confirm termination.
What happens on confirm
- Last day = today → the employee is deactivated now: their myWork login is locked (and TrueNAS, if ticked), and gear audit lines are created.
- Last day in the future → it's scheduled; a banner shows on the profile until that day, when the deactivation runs automatically.
- Either way, the gear lines flow into Pending Gear Returns for settling, and anything still unresolved by the last day is auto-marked Missing.
Good to know
- WiFi and Keycloak are manual — don't assume confirming the wizard cuts them; do them and tick the checklist.
- A scheduled termination can be edited or cancelled from the Employment Status banner (HR admin) before it fires.
- Resolve gear here to keep inventory accurate — the auto-Missing sweep is a backstop, not the goal.
