HR Portal

Edit

What this guide covers

The HR Portal (People > Human Resources > HR Portal) is the front door to HR in myWork. It puts the whole HR toolset - some sixty pages spread across the People, Attendance and Payroll menus - behind one screen, and shows you what needs attention before you go looking. It replaced the old HR Health dashboard on 2026-09-02: the health checks did not go away, they now sit inside the portal next to the work they belong to.

Who can open it: anyone with an HR role (HR read, write or delete). The "Needs attention" tiles and the Findings panels also need the HR Health report permission (HR_HEALTH_REPORT); without it you still get every link, just not the diagnostics. Payroll-readiness checks in the config gaps only run for users who may read salaries. Each page you open from the portal enforces its own permission.

The layout

People rail

Three quick links at the top: "Employee Directory" (with the headcount as a badge), "Employee Table" (filter, sort and export everyone) and "Organigram".

Needs attention

A strip of tiles, each with a count. A tile only shows when its count is above zero; when nothing is outstanding the strip reads "Nothing needs your attention right now." The counts are computed live from current data - there is no date window, so a problem stays listed until the record is fixed (or, for hours, until payroll has paid it). Clicking a tile either opens the matching Findings panel on the right tab or deep-links to the page that clears the queue:

  • Unauthorised hours - closed weeks still unsigned past the SLA; opens the Attendance tab.

  • Weeks to review - open weeks not yet authorised; opens Team Hours.

  • Pending warnings - attendance alerts waiting for a decision.

  • Overdue leave approvals - leave requests past the approval SLA; opens the Attendance tab.

  • New starters owed gear - starters still to be issued equipment; opens Starter Provisioning.

  • Leaving - people in their termination period; opens Joiners & Leavers.

  • Probation ending - confirm or extend; opens Joiners & Leavers.

  • Contracts ending - fixed-term contracts close to their end date.

  • Leave anomalies - negative or expiring balances, over-allocation.

  • Config gaps - employees missing a schedule, leave plan or salary set-up; opens the Employees tab.

Using HR Portal

Below the strip are five tabs. Each has a "Findings" section (for those with the health permission) and then tiles grouped by task, every tile carrying a one-line description of what the page is for. You can bookmark a tab directly with ?tab=duties, employees, attendance, joiners or payroll.

HR Duties

Live cards for today - "Stand-in managers" (who is acting for whom, and any cover gaps), "On leave today" and "Attendance today" (present out of rostered, who is late, who is not in yet, and yesterday's absentees). Then the Manage tiles: HR Settings, Activity Log, Company Events, Detail Attendance, SimplePay Employees and Team Activity.

Employees

Findings: "Config health" - one row per employee with gaps (Employee, Gaps, Leave date, Critical, Manager), filterable by gap type, with "Export Excel". Rows clear themselves once the record is fixed. Then Manage (Schedule Management, Document Upload, Pending Approvals, Leave Balances, Competency Report) and Conduct (Incident Log, Disciplinary Report).

Attendance

This is the tab for the pay-run gate. Its Findings accordion has four panels:

  • Attendance - the current pay period. The header states the "Pay period", the "OT weeks paid with it" (or that no whole OT week has closed yet) and the days counted. It shows "Pending warnings by type, this pay period" as chips - click a chip to filter the table beneath (Employee, Type, Day, Short by, Waiting, Employee's note, Manager) - and a repeated-shortfall table for employees short on two or more completed days (Employee, Days short, Time short on those days, OT in period, Net for period, Manager). Expand a row to see, week by week, whether long days covered the short ones or left the week under; weeks already paid or payroll-locked are marked. Click "Past problems" to swap the panel to everything before the current pay period, and "Back to current pay period" to return.

  • Leave anomalies - Employee, Leave type, Anomaly, Detail.

  • Unauthorised hours - closed weeks past the SLA that still feed a pay run (Employee, Week, Waiting, Manager), with a nudge icon to message the manager and a feed of the latest authorisations.

  • Unapproved leave - requests past the approval SLA (Employee, Request, Waiting, Manager).

Then Operations tiles (Team Hours, Attendance Alerts, Disciplinary Escalations, Create Leave for Employee), a row of report pills (Schedule Analysis, Overtime Breakdown, Manual Entry Audit, Attendance Abnormalities, Team Leave Report, Leave History, Leave Accrual, Leave Analytics, Employee Hours for HR, Hours Analytics, Daily Presence Log, Raw Scans) and Audit (Drift Findings).

Joiners & Leavers

Offboarding findings: "Termination period" (Employee, Last day, Remaining, Reason, Gear). Status findings: "Probation" (Employee, Probation ends, Remaining) and "Contract ending" (Employee, Contract ends, Remaining). Then the Starter Provisioning and Pending Gear Returns tiles.

Payroll

Shown only when the payroll module is on: Payrun Dashboard, Payroll Runs, Payslip History, Bonuses and Advances & Loans.

Good to know

  • It's a launchpad, not an action screen. Use it to spot what needs doing, then open the right page - e.g. Pending Gear Returns for offboarding gear, Team Hours for unauthorised weeks, the approvals inbox for pending requests.

  • "Unauthorised hours" is the payroll gate - clearing those is what lets hours flow cleanly into a pay run. Weeks already paid drop off the list by themselves.

  • The findings load a moment after the page. If a panel says "Checking HR queues…", wait for it; if it says HR Health is unavailable, the scan failed and the links still work.

  • SLA thresholds for the attendance findings are configurable by an administrator (App Config group Hr).

Old bookmarks to the HR Health dashboard still work - they redirect here.

  • Manage hours: authorise and decline your team's time - clearing unauthorised hours.

  • Pending Gear Returns (offboarding) - settling a leaver's equipment.

  • Starter Provisioning - issuing a new starter's gear.

  • Manage your team's leave - clearing pending leave approvals.

  • Employee hours for HR - the payroll-prep hours report linked from the Attendance tab.

  • Human Resources (overview) - the rest of the HR area.
