Employee page: Documents
What this guide covers
The Documents tab is where HR stores and tracks the employee's paperwork — contracts, ID copies, certificates — with expiry awareness so nothing lapses unnoticed. You can add files one at a time, or use Bulk upload to drag a whole stack onto the right types at once.
Who can do what: uploading needs HR write; editing an expiry date or deleting a document needs HR admin.
Uploading a document
In the upload section, set the Document Type, an optional Expiry Date, and choose the file (PDF, JPG, PNG, DOC/DOCX). The document types come from HR Settings → Document Types.
Bulk upload — drag files onto each type
Onboarding someone, or clearing a backlog of paperwork? Click Bulk upload at the top of the tab to open a dialog with one drop target per document type. Drag each file onto the type it belongs to — the ID copy onto ID document, the signed contract onto Employment contract — and it uploads the moment you drop it, with a tick on that target to confirm.
A few pointers:
- It uploads on drop — there's no separate "save" step, and you can keep dropping files while earlier ones finish.
- Several files per type is fine — drop every page of a multi-page scan onto the same target; each becomes its own document of that type.
- Where a type needs an expiry (passports, visas, licences), pick the expiry date on that target before you drop the file. You can always set or change it afterwards with Edit expiry in the list.
- Prefer a file dialog? Each target also has a Browse button, so you don't have to drag.
The single-file upload above stays available for one-off additions — bulk upload doesn't replace it.
The document list
Each row shows:

Good to know
- Set expiry dates on anything that lapses (visas, certificates) — the date drives the warning icon here and the expiry alerts configured on the document type.
- Editing an expiry or deleting is restricted to HR admin — a deliberate guard on the official record.
- Document types are configured centrally — if a type is missing, add it in HR Settings.
