Calling from myWork: web page, Windows app and phone app

Edit

myWork has its own phone system. Every employee has a personal extension, and you can make and take real phone calls on it, to colleagues and to the outside world, in three ways:

  1. The myWork web page, in your browser
  2. myChat24 for Windows, the desktop app
  3. myChat24 on your phone, the mobile app

All three are the same extension. Sign in on as many as you like and a call to your number rings on all of them together. Answer on whichever is closest.

Outside callers reach the myWork phone system on the company numbers. It connects the desk phones in places (8xxx) and your personal extension (2xxx), which rings on the web page, the Windows app and the phone app.

Your extension in one minute

  • It is a four-digit number starting with 2, like 2006. You find it on your dashboard card, next to your job title.
  • It is created for you from your HR profile. You do not request it and you do not set it up.
  • It belongs to you, not to a desk. It rings wherever you are signed in. Numbers starting with 8 are the desk and wall phones in places such as Reception, Stores and the doors. See Your phone extension.

Talking to the outside world

Calling out. Type the number the way you would on a landline, starting with 0, for example 021 300 0443 or 082 555 1234. Leave out +27: a number that starts with + does not go through. The person you call sees the company number.

Calls coming in. Customers and suppliers call the company numbers, 021 300 0443 and 021 555 2181. Those ring the Reception phones first. There is no outside number that dials your personal extension directly, so an outside call reaches you through Reception.

Colleagues. To call a colleague, dial their four-digit extension or search for their name. Internal calls are free.

1. The myWork web page

Best for: people who work in myWork all day on a computer.

  • Open the chat panel and switch to the Calls tab.
  • Type a colleague's name or a number in Name or number, or open the Keypad.
  • A call opens a small call panel with Mute and Hang up.

You do not need to install anything. Use a headset if you can, but a laptop microphone and speakers also work.

⚠ It only rings while a myWork tab is open. If you close the tab, close the browser or let the laptop sleep, calls to your extension cannot reach this device. That is how browsers work, not a fault. If you have several tabs open, only one of them rings.

2. myChat24 for Windows

Best for: anyone on a Windows computer who wants their extension to ring all day without keeping a browser tab open.

  • Download it from My Profile → Apps → Download for Windows (.exe) and sign in with your normal myWork login.
  • Press the Phone keypad button on the left rail to dial. Clicking a colleague's name in a chat opens their card, which has a Call extension button.
  • Closing the window does not stop it. The app keeps running in the system tray, beside the clock, and your extension keeps ringing. To stop it for real, use Quit in the tray icon's menu.
  • It starts with Windows straight into the tray, so your phone is ready from the moment you log on.
  • When a new version is published, a banner offers an Update button. After the update, What's new shows what changed.
  • How it makes sure you notice a new message: see Getting your attention: notifications in myChat24 for Windows.

3. myChat24 on your phone

Best for: people who move around the site, work on the floor, or should be reachable away from a desk.

  • Download it from My Profile → Apps and follow the install steps there. It is our own app, so Android asks you to allow the install.
  • Tap the Phone keypad button at the top of the app to dial. The screen shows your status, for example Extension 2006 · ready for calls.
  • Calls ring like normal phone calls, on the lock screen and through Bluetooth headsets and car kits.
  • It works on the office Wi-Fi and on mobile data.
  • Android shows a small "ready for calls" notice while the app keeps your extension connected. You can hide the notice from Settings, but leave the app running.
  • 🔋 Allow it to run in the background. If Settings shows Android may put myChat24 to sleep, tap Allow running in the background. Otherwise the phone stops the app to save battery and calls stop reaching you.

Which one should I use?

  • At a desk all day on Windows: the Windows app. It rings even when the window is closed.
  • Moving around, or on the floor: the phone app.
  • Borrowed or shared computer, or a quick call: the web page. Nothing to install.
  • Want to be reachable everywhere: the Windows app and the phone app together. Both ring, and you answer on either.

⚠ Up to three devices at once. Your extension can ring on three devices at the same time. If you sign in on a fourth, the device that has been connected longest quietly stops ringing, without any error. If one of your devices has stopped ringing, sign out of the ones you no longer use.

Test your line in 30 seconds

Two numbers let you check your sound without bothering anyone:

  • *43 is the echo test. Speak, and you hear yourself back. That shows both your microphone and your speaker work.
  • *99 is the line check. You hear a recorded message, then an echo test.

If *43 connects but you hear nothing, look at your microphone and speaker settings before reporting a fault.

Phone calls and chat calls are not the same

Inside a chat, the phone and video buttons start a chat call. A chat call runs from app to app between two myWork users and never touches the phone system, so it cannot reach an outside number. To call an outside number or a desk phone, use the keypad or the Calls tab.

Other phone apps (advanced)

On My Profile → Network Passwords → Softphone (SIP) you will find your extension's settings and password, for use in a separate SIP app such as Linphone. That route works on the office Wi-Fi or VPN only, and MicroSIP on Windows is untested. myChat24 is simpler and works everywhere, so use myChat24 unless IT asks you to use something else.

When it does not work

  1. You see no Calls tab or keypad, or "no extension". Your account has no extension yet, or you have not been given calling. Ask IT to add you to the Can: Make and receive calls role.
  2. Your extension does not ring. Check that at least one device is actually signed in: a myWork tab is open, or the Windows app shows in the tray, or the phone app says ready for calls. Remember the three-device limit.
  3. The phone app stopped ringing after a while. Allow it to run in the background, as described above.
  4. The call connects but there is no sound. Dial *43. If that is silent too, your microphone or speaker is the problem. If *43 works, report the call.
  5. Anything else: tell IT who you called, from which device, and roughly when. That is enough to find the call in the logs.
