Tracked Assets

Finance ▸ Tracked Assets. Viewing needs Fixed Asset User, Fixed Asset Admin, Equipment User or Equipment Admin. Changing anything needs Fixed Asset Admin or Equipment Admin.

One row per physical unit. Every laptop, hoist and torque wrench the company has decided to keep a name for, with its tag, what it is, who has it and where it sits.

Using Tracked Assets

The page is headed Tracked Asset Register: one row per physical unit the company has named.

Reading the list

  • Tag — FA- for a fixed asset, EQ- for equipment. Unique, never reused.

  • needs tag chip — registered but nobody has confirmed a sticker on it yet.

  • Status — In use, In storage, Under repair, Written off or Disposed.

  • Finance class — Fixed asset (capitalised) or Equipment (expensed). Worked out at approval, not chosen here.

  • Custodian — who is responsible. Blank means it sits in a room or a store, not with a person.

  • Held since and Due — when the current holder took it, and when replacement is due.

  • Location — where it physically is.

  • Serial — the serial number, where the category asks for one.

Label prints a tag using your remembered template and printer.

What you can do to a unit

Open a unit to reach its detail page. The Manage panel offers:

  • Re-assign custodian / Issue from pool — hand it to a person with Assign, or Issue when the unit is sitting in the pool. This is a real stock move into their equipment bin.

  • Lend temporarily — Lend to a borrower with an Expected back date. Custody moves without putting the unit in service.

  • Return to pool — for returnable kinds, with the condition it came back in. It keeps its tag and can be issued again.

  • Relocate — Move it to a room, a store or an area. Sending it to a real location clears the custodian: a room is not responsible for anything.

  • Change status — In use, In storage or Under repair. The terminal statuses are not offered here.

  • Retire this unit — Write off, with a reason. End of life, damaged or lost.

Further down the page, the Replacement panel has Request replacement (see Replacement Fulfilment (Equipment Replacements)), and the Equipment hand-over panel has Hand over — offer it to a colleague. They must Accept before custody moves. Until they do, it is still yours.

The movement history is the custody history

Every one of those actions is an audited stock move, so the Custody and Move history panels on the unit are the record of who had it and when. There is no separate custody log to disagree with it.

Write-off is the only way out

Retiring a unit consumes its stock and releases its serial numbers in the same step. You cannot get to Written off or Disposed by editing the status — that path is refused, because it used to leave a unit that could then be neither moved nor retired.

The only extra gate is on the current holder: you cannot write off a unit you are holding yourself, unless somebody else approved a replacement for it, or you are a fixed-asset admin. A non-holding admin acts alone. This is deliberately weaker than a true two-person flow.
