Credit Card Custody

Credit Card Custody keeps track of the physical whereabouts of company payment cards — who is holding each card right now, where it was last left, and who is allowed to take it. It works just like the vehicle key custody you may know from Fleet, but for credit, debit and fuel cards.

It answers the everyday question "who has the company card?" without phone calls and guesswork, and it leaves a complete trail of every hand-over.

The three ideas to understand

  • A card has one holder at a time. When you take a card it is yours until you return it or hand it to someone else. myWork always knows who that is.
  • Every movement is recorded — each take, drop and hand-off is logged with who did it, when, and where — so a missing card is easy to trace.
  • Access is per card. You can only take a card you've been given access to (see Card access and roles).

Company cards

Every card is a company card linked to a Xero bank account, so the card's code always matches your accounting (and the same code is used when you capture spend against it). An administrator registers each card and picks its Xero account.

Where to find it

Good to know

  • Cards carry no money figures in myWork — you'll see the card name, the last 4 digits and its custody status, never a balance. Spending is captured separately (petty expense).
  • Look after the physical card and its PIN, and report a lost or stolen card immediately so it can be blocked.
