Scan terminals (System Settings)

Edit

Scan terminals (System Settings)

What this guide covers

System Settings > Scan terminals is where the face terminals are set up and where people are put on them or taken off. myWork reads the terminals directly; HikCentral no longer manages them.

Who can open it: it needs the Scan terminals permission (an administrator has it). Someone with only this permission sees just this tab of System Settings.

Terminals

One row per terminal: its name, address, clocking point, direction, clock and when it was last read. Add terminal adds one; the pencil button changes one.

  • Clocking point - where scans on this terminal count as working hours. Terminals with the same clocking point are one place to HR (both production terminals are Warehouse Main). Leave it empty for a door only. A clocking point that active employees still use cannot be removed from its last terminal: move them first.
  • Direction - how myWork decides in or out: Clock-in, Clock-out, In and out: the person chooses, else alternate (the Server Room Door), In and out: alternate, or Door only.
  • Clock - the terminal's clock against the server's: In time, Drifting (over 30 seconds off) or Out of sync (over 2 minutes off). Every scan's time comes from the terminal, so ask IT to fix one that drifts. Checked when the server first reaches the terminal after a start, every day at 06:25, and on Test.
  • Test - asks the terminal now and says how many people are on it. Certificate changed means the terminal presents a new certificate: use Trust new only if you know why (a reset, a new certificate). If not, someone may be standing between the server and the terminal.

Login and leavers

  • Terminal login - the terminals' user and password are kept in a file on the server, never in the database. Ask the server owner to change them.
  • This server - says whether this server reads the scans. Buttons work from any server; the automatic jobs run only on the one that reads.
  • Remove people who left automatically - off by default. When on, an employee terminated in HR is deleted from every terminal at once, and every 15 minutes anyone inactive in myWork is deleted too.
  • Allow more than one clocking point per employee - off by default. Switch it on only when someone really clocks at two places.

Attendance from the terminals

With Feed attendance from the terminals on, every scan that counts becomes attendance about two minutes after it happens: the same clock-in and clock-out records HikCentral used to write. It has been on since 3 November 2026, 18:05. The line under it says how many scans were handed over, how many attendance already had, how many are waiting, and how many had an unknown worker ID.

Leave it on. Switched off, no scan becomes attendance. And never switch HikCentral's export back on while it is on: every scan would be counted twice.

Clocked in now

Everyone whose last scan in the past 14 hours was a clock-in, from the terminals' own scans. Someone in for over 12 hours is marked: they probably forgot to clock out.

People on the terminals

Everyone on any terminal, read live, with their myWork status and which terminals they are on, with a face and a card. The filters pick out the ones to act on:

  • Left, still enrolled - people who left and can still open the doors. Remove them.
  • Not in myWork - a worker ID on a terminal that myWork does not know (often a typo).
  • Active, on no terminal - employees who cannot clock in anywhere yet.
  • Add employee - choose the employee, tick the terminals, upload a face photo (JPG or PNG, the face straight on, plain background) and, if they have one, the card number. The photo goes to the terminals only; myWork does not keep it.
  • Remove - deletes the person, their face and their card from every terminal.

Every terminal is also a door. Tick a terminal only for people who may go through that door; the Server Room Door is access control. For one employee, the Scan terminals card on their employee page does the same: check them, send a photo, or remove them.

Recent changes

Every change made here, with who made it and whether it worked: people added and removed, faces and cards set, terminals saved, certificates trusted, and the switches changed.

  • How a scan becomes attendance (clocking points) - how a scan becomes a clock-in or clock-out.
  • Employee page: Attendance & Shifts - one employee's clocking point and Scan terminals card.
