Team Leave Report: a record of approved leave

What this guide covers

The Leave report under People ▸ Managers is a read-only record of approved leave for the people you manage, over a date range you choose. Use it to see who was (or will be) off, pull the supporting sick notes, and export the period's leave for payroll or records.

It's one of the Managers screens (People ▸ Managers), alongside Manage hours, Manage schedules and the Organigram.

This is not the approval screen. Deciding pending leave requests happens on Pending Approvals (see Manage your team's leave). The Leave report only shows leave that has already been approved - it changes nothing.

Using the report

  • Pick a date range - set From and To, then click Load. It defaults to the current month.
  • Filter the results by Employee, Department or Leave Type - the table narrows as you type.
  • View the sick note where one was attached (the eye icon opens it; the download icon saves it).
  • Export Excel to hand the period's leave to payroll or keep it on file.

The columns

  • Employee — the person who took the leave.
  • Department — their department.
  • Leave Type — the kind of leave (annual, sick, family responsibility, …).
  • Start — the first day of the leave.
  • Return to work — the first working day the person is back, i.e. the day after the leave ends (not the last day off).
  • Days — the leave length; a half-day shows as a fraction (e.g. 0.5).
  • Status — always Approved here (the report lists approved leave only).
  • Sick note — a link/download for the supporting document, when one was provided.
  • Manager Comment — the note left by whoever approved the request.

Start Monday, Return to work Thursday, Days 3 means the person was off Monday, Tuesday and Wednesday. Do not read Return to work as the last day of leave.

Good to know

  • Approved only. Pending or rejected requests don't appear - find those on Pending Approvals.
  • Scoped to your team. You see leave for your departments and everything beneath them; HR admins see everyone.
  • The date range matches overlap, not just start date, so a leave that runs into your window is included.
  • Export is a snapshot of what's currently filtered/loaded - set the range and filters first, then export.
  • Manage your team's leave - how leave decisions route to you (the current-approver and stand-in rules).
