What Pending Approvals is
Pending Approvals (the page header reads Approvals) is one inbox for everything in myWork that waits on a decision: leave, custom-schedule and overtime requests, assigned shifts, place-in-service and equipment-replacement requests, bank-detail verifications, work-order step gates and more. Each request is a card. You pick a card, read the facts, and decide on the spot.
Who sees what:
- Everyone sees their own submissions under My requests (read-only), anything they personally have to accept under Awaiting my action, and equipment being handed to them under Sign for equipment.
- The current approver of a request sees it in the team queue. That is normally the employee's direct manager. If the approver does not act, the request escalates to the next manager up automatically; the card moves with it.
- HR and administrators see every pending request. Finance staff with the bank-detail permission also see bank-detail verifications; holders of the asset permissions see the place-in-service and replacement queues.
How to get there
- The Needs your attention card on the Dashboard's My Day tab shows a Pending approvals count. Click it.
- Notifications about a request deep-link straight to the card.
- Finance also has a Classification Approvals item in its menu that opens the same page.
Using Pending Approvals
The two tabs
Pending shows everything still open, with the total in the tab. History shows decided requests, grouped by type, each with its outcome, who decided and when, and the comment.
Filter chips
When the team queue holds more than one type, a chip row appears: All, then one chip per type with its count (Leave, Custom Schedule, Place in Service, and so on). Click a chip to see only that type.
Reading a card
Each card shows the employee, how long it has been waiting (older cards are tinted), a type chip and a one-line summary. Leave cards can carry extra chips:
- Certificate REQUIRED — the leave type needs a supporting document and none is attached.
- Converted — the employee applied for one leave type but their balance was short, so the request was converted (typically to unpaid). Hover for the detail.
- legacy — a request that predates the unified inbox.
Deciding
Click a card. The detail panel shows the type-specific facts (dates and balance for leave, times for a custom schedule, product and tag for an asset request) and, where it applies, an approval chat, a direct-message icon for the employee, share and star.
Underneath is the decision bar:
- Approve / Reject for a team request. A comment is optional when approving and required when rejecting. For edits and cancellations the buttons read Approve edit / Reject edit and Approve cancellation / Reject cancellation.
- Accept / Decline when the request is addressed to you personally, such as an Assigned Shift your manager rostered you onto.
- Acknowledge only, when the item is a notice rather than a request. Leave that is already recorded (for example a sick-leave notice) shows "This leave is already recorded — your manager will acknowledge the notice."
Once you decide, the card leaves the Pending list and appears under History. The employee is notified.
Sign for equipment
When a colleague hands you a tracked unit, it appears at the top of the queue. Read the product and tag, press Sign for equipment and sign on the pad, then Accept. Accept is disabled until you have signed. Decline leaves the unit with the sender.
Types that are decided elsewhere
Two card types only surface here. Attendance Warning cards are excused or escalated on their own panel, and Incident Acknowledgement and Incident Sanction cards are actioned on the incident itself. The card tells you where to go.
What each type is
- Leave, Leave Edit, Leave Cancellation — the employee's request, a change to an approved request, or a request to cancel one. Rules, stand-ins and the unpaid split are explained in Manage your team's leave; badge meanings in Leave request statuses field definitions.
- Custom Schedule, OT Cancellation — a one-off working window or overtime request, and its cancellation. See Custom schedules & assigned shifts (and why they're not overtime).
- Assigned Shift — a shift a manager rostered onto you; you accept or decline it.
- Place in Service, Equipment Replacement — the asset register decisions. See Pending Approvals: Place in Service and Equipment Replacement.
- Bank Details Verification — Finance confirms a changed bank account before payroll uses it.
- Work Order Step — a work-order step that is gated on an approval.
- Credit Note — enter in Unleashed — the ERP entry step of a credit note.
- Bonus, Recurring Bonus, Advance / Loan — payroll approvals, shown only to their approvers where the payroll module is enabled. Background in Payroll Approvals.
Good to know
- The comment is the employee's feedback. Write why you are rejecting; it is shown to them and kept in History.
- You only see requests you can decide. If a request you expect is missing, it is with a different approver or has already been decided (check History).
- Nothing pending shows "You're all caught up."
- Your own view of the leave you submitted, including editing or cancelling it, is on My Leave, not here.
