For work that repeats on a rhythm - a weekly floor sweep, a monthly stock check, a daily safety walk - set up a recurring template once and let it issue the task automatically.
Open Tasks ? Templates (needs the Task Manager permission).
Create a template
A template carries two things:
- The task to spawn - its title, description, priority, optional target (minutes), who it goes to (a person or a team), and an optional linked record.
- The schedule - repeat every N days / weeks / months, with a first run date.
Assigning to a team is handy here - the spawned task pools to the team and a member claims it, so you don't have to pick a person who might be on leave.
How it runs
- While the template is active, a daily sweep issues a fresh task from each template that's due, then advances it to its next run.
- Each spawned task is a normal task - it gets its own chat channel, can be claimed, and feeds KPI like any other.
- Pause a template anytime (it stops issuing but keeps its settings), or press Run now to issue one immediately without disturbing the schedule.
- If a run ever fails, the template records the error and retries on the next sweep rather than silently skipping.
