Payslip History

Edit

What this guide covers

Payslip History (Payroll -> Runs and History -> Payslip History) charts one employee's Total income against their Total deductions, month by month, so you can see the shape of their pay over time rather than reading payslips one at a time. It is modelled on the equivalent SimplePay view.

Who can open it: anyone with payroll read access. Pay data is sensitive, so this is not a general-access page. Read-only - nothing here changes a payslip.

How to read it

Pick an employee and the chart draws two lines per month:

  • Total income - everything earned that month (basic, overtime, bonuses, allowances).
  • Total deductions - everything taken off (tax, UIF, deductions, advance recoveries).

The gap between the two lines is roughly the take-home trend. A spike in income with a matching spike in deductions is usually a bonus month (the extra tax follows the extra income); a spike in deductions on flat income is worth investigating - an advance recovery or a once-off deduction.

The chart shows the most recent 36 months.

Which payslips are included

Only committed payslips - those on payroll runs that have been Paid or Locked. Draft or in-progress runs are deliberately excluded, so the chart only ever shows money that was actually paid.

There is no historical backfill. The chart fills in month by month as payroll runs are paid, so an employee taken on recently, or a period processed before the payroll ledger existed, simply has no line for those months. That is expected, not a fault.

Good to know

  • Read-only. To change a payslip you go back to the payroll run.
  • The figures come from the payroll ledger, so they match what was paid - not a recalculation.
  • For one person's full payroll picture (year-to-date balances, paid-through dates, the payslip breakdown), use Employee Overview instead; this page is just the trend.
  • Employee Overview - the full per-employee payroll account.
  • Running monthly payroll (myWork -> SimplePay) - how a run becomes Paid and appears here.
