Employee Overview (payroll)

What this guide covers

Employee Overview (Payroll > Runs and History > Employee Overview) is one employee's whole payroll account on a single page: who they are, their year-to-date balances, how far their pay has been processed, every committed payslip with its chart, and their recent payroll activity. It is modelled on SimplePay's per-employee screen.

Who can open it: anyone with payroll read access - pay data is sensitive. The figures are read-only; users who also hold the manage-payroll-runs permission get a few payslip actions (see below).

What is on the page

  • Header - the employee's payroll identity, including their pay group.

  • Year-to-date balances - the running totals for the tax year (income, deductions, contributions).

  • Paid-through cursors - how far this employee has actually been processed. This is the quickest way to answer "has she been paid for July yet?" without opening a run.

  • Payslip history - every payslip on a Paid or Locked run, newest first, with an income-versus-deductions chart above the table (Run, Period, Gross, Deductions, Net, Source). Select a payslip to see its line-by-line breakdown under Earnings, Deductions and Company contributions.

  • Recent activity - the payroll events on this employee's record.

Each payslip is shown from its own source of truth

This is the important detail. A payslip carries a chip saying "Paid from SimplePay" or "Paid from myWork". One adopted from SimplePay is displayed using SimplePay's own figures and lines - not a myWork re-calculation of them.

That means the breakdown you read here is what the employee actually received, which is exactly what you want when answering a query. It also means small differences between a myWork-calculated payslip and a SimplePay-adopted one are expected: the two systems calculate tax slightly differently, and the overview shows each payslip as its originating system produced it rather than forcing them into one shape.

Payslip actions

Everyone with payroll read can "Download PDF" for a selected payslip. With the manage-payroll-runs permission you also get:

  • Release to employee - publish this one payslip to the employee's My Payslip view.

  • Hold - take it back out of the employee's view.

  • Refresh SimplePay labels - re-pull SimplePay's item names so the lines read in plain words rather than raw ids.

Whole runs are released or un-released from the run itself - see Running monthly payroll (myWork → SimplePay).

Using it

Reach for this page when the question is about one person:

  • "What has she earned year to date?" - the YTD balances.

  • "Was he paid for last month?" - the paid-through cursors.

  • "Why was this payslip lower?" - select that payslip and read its breakdown.

  • "How has her pay moved over the year?" - the chart in Payslip history.

  • "What changed on her payroll record recently?" - recent activity.

For a whole period across everyone, use the payroll run itself.

Good to know

  • Figures are read-only - corrections are made on the payroll run, not here.

  • Only committed payslips (Paid / Locked runs) appear; drafts do not.

  • There is no historical backfill, so months processed before the payroll ledger existed are absent.

  • Payslip History - the same chart across employees, as its own report.

  • Pay Groups - which cut-off cycle this employee's pay follows.
