My Documents is your own space for files in myWork: working files, drafts, scans, photos, anything you need. It works like Google Drive: folders, uploads, every earlier version kept, pages you write straight in the browser, and sharing with the colleagues you choose. Nobody else can open it.
Where to find it
My Documents is at the top of the left menu, under Dashboard. Everyone who signs in to myWork has one, with nothing to request or set up: your drive is made the first time you open it.
On the left (on a phone, as a row across the top):
- My Documents: your own files and folders.
- Shared with me: what colleagues have shared with you.
- Recent: your 30 most recently changed files and pages.
- Trash: what you have deleted, until you restore it.
Underneath, how much space your files use.
Folders and files
- New folder makes a folder where you are. Click a folder to open it; the path at the top takes you back.
- Upload: drop files on the dialog, or choose them. Each file starts as version 1.0.
- The ⋮ menu on a file has Open, Download, Upload new version, Version history, Rename, Move, Share, Move to a project… and Move to Trash. Folders have the same menu for what applies to a folder.
- Upload new version replaces the current version and keeps every earlier one. Version history lists them all, with who uploaded each one and when, and any of them can still be downloaded.
- Names have to work on Windows too. A name you type with a character such as
: * ? " < > |is refused with the reason. An uploaded file's name is fixed instead (the character becomes_), and a name that is already taken in the folder is numbered, for example "report (2).pdf".
Pages
A page is formatted text that you write straight in myWork: headings, lists, links and pictures, with no file to upload and no versions to keep. Use one for meeting minutes, a checklist, or anything you would otherwise type into a document only to store it here.
A page is not a sticky note: for a reminder only you need, use My notes in the top bar. See Sticky notes: jot it, pin it, bin it.
- New page, next to New folder, asks for a title and opens the page for writing. The title can be any text: a page isn't a file, so the Windows rules above don't apply. Click a page's name to open it again.
- It saves itself every 30 seconds, and Save saves at once. If you try to leave with something unsaved, the browser asks first.
- Paste a picture into it and the picture is kept with the page: only people who can open the page can see it.
- A page's ⋮ menu has Open, Rename, Move, Share, Move to a project… and Move to Trash, and they work as they do for a file. An Editor you share a page with can write in it; a Viewer reads it.
- A page has no version history: what you see is the page as it is now. When earlier versions have to be kept, upload a file instead.
If a colleague saved the page while you were writing, your save is refused instead of overwriting theirs. Your text stays on screen, and Keep my text as a new page saves it beside theirs:
Who can open your files
Your drive is private: only you see it, until you share something. Not your colleagues, not your manager, and not the EDMS administrators. Personal drives are kept off the EDMS dashboard, its lists and its search.
To share, click Share at the top of a folder (at the top level of your drive it shares the whole drive), or Share in a file's ⋮ menu. Choose the person and the access:
- Viewer: opens and downloads.
- Editor: also uploads files and new versions, renames, moves and makes folders.
Sharing a folder shares everything in it, its folders too. The person is told in chat and finds it under Shared with me. In the same dialog you can Make Editor, Make Viewer or remove someone's access at any time. Every share and every change to it is recorded in the folder's own chat channel (the chat icon beside its name).
Only you share your files, and only you move them to the Trash or restore them: an Editor can't delete them or share them on.
Trash
Move to Trash keeps the file with all its versions. A folder in the Trash hides everything in it. Restore brings it back where it was. If its folder is gone it comes back at the top of your drive, and if its name has been taken meanwhile it gets " (restored)" added. There is no "delete forever": anything in the Trash can always be restored.
When someone leaves the company
An administrator can hand a leaver's whole drive to another person, usually their manager, on EDMS → Personal Drives. It arrives as one folder at the top of that person's drive, named after the leaver (for example "From Jane Smith"), and its shares go with it. That is the only way anyone reaches a drive without a share.
On your computer
myChat24 for Windows can keep your My Documents in a folder on your computer, like Google Drive for desktop: save into the folder and it goes up, change something on the web and it comes down. See My Documents on your computer.
Pages stay in myWork: a page isn't a file, so it doesn't appear in that folder. Open it in the browser.
Move a file into a project
When a file of yours becomes part of a team's work, move it into the project's documents: in its ⋮ menu choose Move to a project…, pick the folder (type to filter the list), then Move to project. The dialog then links to the folder it went to.
- You can move your own files into any folder of a project you contribute to: the top of its documents, a milestone's folder, or a folder in them. Someone you shared a file with can't move it.
- It keeps its name and every version, and leaves your drive. From then on the project decides who can open it: everyone who can view the project.
- If it was shared, those shares end and the people concerned are told in chat.
- A name already in that folder is refused, with nothing changed: rename your file first, or choose another folder.
- A link to it in chat, or a bookmark, opens it in the project for anyone the project lets in.
- A page moves the same way, with its pictures.
- There is no move back. Want a copy of your own as well? Download it before you move it.
What belongs where
- My Documents: your own working files and pages.
- A project's Documents tab (Tasks & Projects): the files of a project, for the people on it.
- EDMS: documents the business controls (SOPs, policies, forms) and files the QMS has to keep under version control. See Upload and version files (EDMS).
