Employee page: Personal Info

What this guide covers

The Personal Info tab holds the employee's identity and contact details, their login account, the password-reset action and the SimplePay link.

Who can edit it: HR write. Anyone with HR read can view it.

What's on the tab

Account (read-only)

  • "System Username" and "Email Address" — the login identity (not edited here).

Identity

  • "Legal Entity (Organization)" — which organization they belong to (required).

  • "Worker Code", "First name", "Last name" (names required).

  • "User Active" — the active flag.

  • "VoIP Extension" — phone extension.

  • "Cell Number" and "Backup Cell Number".

  • "Nationality", "Date of Birth", "Gender".

  • "Holds a South African ID (SA citizen / permanent resident)" — a toggle that decides which identity fields show:

  • On: "SA ID Number".

  • Off: "Passport Number" and "Passport Expiry", plus "Work Permit Number" and "Work Permit Expiry".

  • A "Document history" panel lists earlier identity documents recorded for the person.

Which nationality counts as local is set on the Compliance tab of HR Settings (see HR Settings - organisation setup). Work-permit expiry reminders go to the recipients set there and to all HR-role holders.

Contact

  • "Residential Address".

  • "Emergency Contact (Next of Kin)" — "Name", "Relationship" and "Phone Number".

Actions

  • "Save Changes" — saves the tab (HR write).

  • "Reset Password" — generates a temporary password and shows it once in the dialog, for you to hand to the employee (HR write).

  • "Create / link in SimplePay" — links this person to their SimplePay employee record, or creates one if none exists. Every employee must be linked before payroll can export their inputs.

  • "Re-check SimplePay" — re-reads the link status from SimplePay.

Good to know

  • Username and email are read-only here — they're the account identity; change those through the account/admin path, not this tab.

  • Date of Birth, ID and permit dates feed compliance and age-related rules — keep them accurate. A foreign national with no permit or an expired one is flagged as a config gap on the HR Portal.

  • "Reset Password" shows the temporary password only once — copy it before closing the dialog, and have the employee change it at next login.
