Company details and the document letterhead

Every PDF myWork24 produces — a purchase order you email a supplier, a delivery note that travels with a shipment, a goods received note, a service order, a payslip — is printed on the same shared letterhead. The company name, address, contact details and statutory numbers at the top of that letterhead all come from one screen: Admin › System › Company Details.

Because the letterhead is shared, you set these details once and every document picks them up. You never edit them document by document.

Where to find it

Open Admin › System › Company Details. The page is limited to administrators — if you cannot see the menu entry, you do not hold the ADMIN permission and someone who does will need to make the change for you.

How a change reaches a printed document

A five-step flow: open Admin, System, Company Details; fill in the name, address, phone, email, website, VAT number and company registration number; check the preview, which updates as you type; save, setting the details once for all documents; and the next PDF prints them, with documents printed earlier left unchanged. One letterhead is shared by the purchase order, delivery note, goods received note, service order, payslip and every other PDF. A closing note: leave the numbers blank and that line is simply left off, with no blank label and no stray text.

Adding your VAT number

The VAT number is the field most often needed, because a document sent to a supplier or customer is expected to carry it.

  1. Open Admin › System › Company Details.
  2. In the Identity section, type the number into VAT number.
  3. Optionally fill in Company registration number next to it.
  4. Check the Letterhead preview lower down the page — it updates as you type, so you can see exactly how the line will read before committing to it.
  5. Press Save.

The next document generated carries the number. There is nothing to restart and nobody needs to be logged out.

The VAT number starts out empty, on purpose. myWork24 ships no default value for it — a wrong tax number on a document is worse than no tax number at all. Until an administrator types the real number in, the line simply does not appear.

What each field does

Registered name — the bold heading of the company block, top-right of every document. This is the one field that cannot be left empty; the page refuses to save without it.

Address — printed directly beneath the name. It is a single line of up to 255 characters and wraps naturally on the page, so write it as you would on an envelope.

Phone and Email — printed together on one line, separated by a dot.

Website — printed on its own line beneath them.

VAT number and Company registration number — printed together in a lightly shaded box below the website, reading VAT No 4123456789 · Reg No 2011/012345/07. The shading is deliberate: it marks these out as statutory registration details rather than another way to contact you.

If you leave the statutory numbers blank

The shaded line is additive and self-suppressing. Fill in only the VAT number and only VAT No … prints — no empty Reg No label and no leftover separator. Leave both blank and the line disappears completely, and documents look exactly as they did before. There is no half-finished state to worry about.

When the change takes effect

A save applies to the next document generated. It does not reach back and change documents that were already printed, downloaded or emailed — those are finished records of what was sent at the time.

If a supplier needs a corrected copy, generate the document again after saving and send the new PDF.

The logo is not a setting on this page

The logo in the top-left corner is a file bundled with the application, not something you can upload here. Replacing it is a change a developer makes. Everything beside the logo — the whole company block — is editable on this page.

Things this page is not

It is not where supplier or customer VAT numbers live. Those belong to each individual company you trade with and are shown on that supplier's or customer's own record. This page is only about your own organisation's details.

It is not the HR organisation record. myWork24 also stores organisation records used to decide which employees and which controlled documents belong together. Those are a separate thing, used for staff and document access rather than for printing. Editing one does not change the other.

Troubleshooting

I saved, but the document still shows the old details. You are almost certainly looking at a PDF that was generated before the save. Generate a fresh one.

The page says my value is too long. Each field holds up to 255 characters. Shorten the text — most often it is an address carrying more detail than a letterhead needs — and save again.

I cannot see the menu entry. The page is administrator-only. Ask an administrator to make the change, or to grant you the ADMIN permission if the job genuinely calls for it.

The VAT line is missing even though I filled it in. Check that you pressed Save and that the field does not contain only spaces — whitespace on its own does not count as a number, and the line stays hidden.
