Chat & Notifications

myWork has a built-in chat you open from the floating chat button at the bottom-right of every page. It has two sides:

  • Chats - direct (1:1) and group conversations with colleagues.
  • Notifications - a dedicated chat channel for each record (a Work Order, Task, Move Request, Courier waybill, Incident, and more). A record's activity and any discussion about it live there.

A red number on the chat button shows your total unread messages. Along the bottom of the panel are the Chats, Notifications and Help tabs.

Chats - talking to people

  • Start a direct chat: open the Chats tab, click the new-chat (person) icon, search a name and pick them.
  • Start a group: click the new-group icon, give it a name and add members.
  • Mention someone: type @ in a group message to notify a specific person.
  • Send files: use the attachment and camera buttons in the message box to share documents and images.
  • Search: the magnifier searches your conversations and messages.

Notifications - a channel per record

Every Work Order, Task, Move Request, Courier waybill, Incident (and more) has its own chat channel. Lifecycle updates - "released to floor", "picked up", "complete" and so on - are posted there automatically, and the relevant people are added so they can follow along and reply.

Each row shows an icon for the kind of record - a wrench for Work Orders, a truck for Move Requests, a tick for Tasks, a car for Vehicles, a paper-plane for Couriers - so you can tell them apart at a glance.

Unread first. Channels with new messages are grouped at the top under Unread, above the Earlier list, so you can deal with what is new first. Mark all read clears them in one tap.

Subscribing - the star

Next to a record's name - on its page and in lists - is a star that controls how that record's channel notifies you. Click it to cycle through four states:

  • Not watching - empty grey star. You are not subscribed and get nothing.
  • All messages - full star. You are notified on every message.
  • System updates only - half-filled star. You are notified only on the automatic record updates, not on people's chatter.
  • Mute - outline star in colour. The channel stays in your list but never notifies you and does not add to your unread count.

Each click moves to the next state; clicking past Mute stops watching again. You can set the same levels from the More options (three-dots) menu inside an open channel.

There is no separate "Subscribe" button - opening a record's channel and using the star is how you subscribe.

Opening chat from a record

On a record's page (for example a Work Order or a Task), next to its number you will see small icons:

  • Chat icon - opens that record's notification channel.
  • Share icon - pick a person and send them a link to this record. They can open it only if they have permission to see it, so sharing is always safe.
  • Star - your subscription level, described above.

Wherever a person is shown - a creator, assignee or manager - a small message icon next to their name starts a direct chat with them.

Muting and managing notifications

  • To quieten a noisy channel without leaving it, set it to Mute or System updates only.
  • To leave a channel entirely, choose Unwatch from the More options menu (or click the star past Mute). Once you unwatch, the system will not re-add you automatically.
  • Mark all read on the Notifications tab clears your unread count.

Who can see a record's chat

You can read and join a record's channel only if you are allowed to see that record. Sensitive channels - for example HR incidents - stay private to the people involved. Because permission is always checked on the record itself, sharing a link is safe: if the recipient cannot access the record, the page simply will not open for them.

On your phone

Chat also works in the myWork Chat app for Android, with push notifications. Tapping a notification opens the conversation, and a link in a message opens the linked record.
