Asset Reconciliation

Finance ▸ Asset Reconciliation. Opens for the Fixed Asset Admin or Accounting permission — Finance reads it, the asset admin acts on it.

Does the register still agree with reality? Six checks, and an empty report is the healthy result — not a sign the report failed.

It can normally be empty because every custody record is written in the same step as the move that justifies it. There is usually nothing to find. Drift appears when stock is moved through the ordinary stock screens, which know nothing about the register.

Using Asset Reconciliation

The page is headed Asset reconciliation. It answers one question in six checks.

The six checks

1 · Signed out to someone who no longer has it. The ledger says this person has it; the register says otherwise. Re-issue it to whoever really has it, or return it to a store — that closes the stale line automatically.

2 · Holding equipment they never signed for. The register makes them responsible but there is no open line, so it will not show on their assigned-equipment list. Re-issue it to that same person; the line opens as part of the issue.

3 · Not where the register says. The stock was moved through ordinary screens. Confirm where it really is, then relocate or re-issue on the register.

4 · The register lists a unit that no longer exists as stock. The most serious one. The stock was consumed or discarded without the unit being retired, so the unit can now be neither moved nor written off — both need the stock to exist. Fixing it means putting the stock back or having an administrator clean up the row. A plain write-off will be refused.

5 · Approved, but never placed in service. A decision was recorded and the register rows never appeared. Where nothing was created, re-submit the request. Where some units were created, the conversion refuses to run again and a person must reconcile by hand. The original failure is in the server log.

6 · Retired units still on Unleashed's books. Not yet detectable, and the report says so rather than showing an empty table. Tracked stock is held in transient categories, so no move of one has ever raised an Unleashed adjustment — every unit is still on Unleashed's books from the day it was capitalised, and there is no per-unit ERP reference to compare against. This becomes a real check when the ERP link is built. The number shown is the size of that future job, not a count of mistakes.
