Vehicle details: photos, documents, trips and custody history

The single-vehicle detail page — its photo gallery, attached documents, the history of who held its keys, and its recorded trips.
Where to find it
On Fleet → Vehicles, open a vehicle card to reach its detail page.
Photos
The top of the page shows the vehicle's photos, with one marked as the primary image (the one used on the card). Administrators can upload more photos, change which is primary, and remove photos — see Managing vehicles.
Documents and attachments
Supporting documents are listed below the photos — registration papers, insurance, service records, and similar. An attachment can be:
- an uploaded file,
- an external link (URL), or
- a reference to a controlled EDMS document.
Click an attachment to open it.
Custody history
The custody history lists every time the vehicle's keys were taken and returned:
- who held them,
- taken at and returned at times, and
- for policy-gated vehicles, the usage-policy version that driver had signed at pickup.
This is the audit trail that links each person to the period they were responsible for the vehicle.
Trips
The trips list shows journeys derived automatically from the GPS feed. Each trip records:
- start and end time,
- distance and duration,
- maximum speed, and
- the driver it is attributed to — i.e. whoever held the keys when the trip started.
A trip with no driver attributed means the vehicle moved while nobody had taken its keys in the app — a signal worth following up.
Privacy
For a private vehicle, the detail page (including trips and custody history) is only available to users on its access list. A driver who was given a one-time grant can take the keys but is not shown the location/trip history.
