What this guide covers
Committing, shipping and (optionally) couriering customer-bound shipments against a Sales Order. The full flow: create from SO → place → the clerk ships it off the shelf when the collector arrives → optionally book a courier and print the waybill.
There is no picking round and no staging area. Placing a shipment locks the quantity and clears it to go; the store clerk takes the goods straight off the shelf at the moment of collection.
For internal moves see Local Shipments; for parts going to a subcontractor see External Service Orders (paint, cutting & outside services).
Where to find it
Two screens, for two jobs:
Sales → Sales Shipments — the desktop management list: filter by status, customer, sales order ref or shipment number, open a shipment, place it, book a courier, print.
Shipping & Receiving → Sales Shipments — the floor version, built for a phone: the shipments cleared to go, and nothing else.
On both lists the shipment number itself is the link. Click it to open the shipment (the floor list's link is titled "Open / process this shipment"; the desktop one "Open this shipment (manage / edit)").
Who can do what
The four jobs on a shipment are four separate permissions, and holding one does not give you the others.
SalesShipmentUser — see shipments, open them, and send the customer their delivery note. Read-level. It does not let you place or dispatch.
SalesShipmentWrite — create a shipment from a Sales Order and Place it (Parked → Placed). This pushes ShipmentStatus=Placed to Unleashed and runs the over-sell check.
SalesShipmentDispatch — Ship: consume the collected stock and push Dispatched to Unleashed.
SalesShipmentAdmin — override the status of an existing shipment (Parked / Placed / Deleted).
Additional, deliberately narrow:
SalesShipmentOversellOverride — force-place a shipment whose lines exceed the free-to-move stock, via the Edit dialog. Held by one named person plus administrators — not by Sales generally, and every use is audited. The ordinary Place button stays gated for everyone. It is also worth knowing what it does not do: it clears the check at place time only, so the goods still cannot be collected until the stock actually exists. If an order is urgent, free the stock instead.
ShipmentPack / ShipmentPackReusable — work the packing queue; the second one additionally allows reusable packaging drawn from stock.
CourierWrite — book a courier against a placed shipment, or record a waybill somebody else booked.
ADMIN — full access.
The ShipmentUnplace permission (pull a Placed document back to Parked) applies to Local Shipments and Local Receipts, not to Sales Shipments. To change a Sales Shipment's status after it is placed you need SalesShipmentAdmin.
A user with page access but none of the action permissions still sees the list read-only; the action buttons are hidden. The full map, including the rules that block everyone regardless of permission, is in Who can do what on the floor (Shipping & Receiving).
Creating from a Sales Order
From a Sales Order's detail page, click Create Shipment.
The shipment is created Parked — a draft. It does not hold any stock yet. Nothing is reserved and nobody else can see that those goods are intended for this customer.
Place it (the Place button on the management page). This is the step that registers the claim: the quantity becomes Allocated, everyone else's free-to-move figure drops, and only now may the floor collect.
Multiple shipments can be placed against the same product across different Sales Orders — myWork tracks the allocations so each shipment dispatches its own slice, and blocks rather than letting one quietly take another's stock.
Shipping it
The collector arrives, the clerk works the shipment at the shelf:
From the floor list, tap the shipment number to open it.
For each line, choose the bin the goods are actually coming off — the dropdown shows every bin holding that product, scoped to the right Sales Order's allocations — enter the qty and tap Collect. That is not a trip to a staging bay: it is the record of those units leaving that shelf and passing into the clerk's hands.
Repeat until every line is accounted for.
Capture the collector's signature on the Signature pad — dispatch is blocked without one.
Tap Ship (tooltip "Dispatch this shipment"). The stock goes out and the shipment becomes Dispatched.
Ship is disabled while any line is still unaccounted for; the tooltip tells you to collect every package and loose item first. You can ship short, but only as a deliberate action: use Ship what I have in the more-actions menu.
If packing was requested, the job changes shape: the clerk combines the items into a measured package and ships the package rather than loose goods. Packing is a process step with its own To Pack worklist on Bulk Pick — it does not currently block dispatch. See Asking for packing (and hearing back without chasing the floor).
Booking a courier
Once the shipment is Placed, the management page offers two courier actions:
Book courier — we are paying. The wizard opens pre-filled: the customer's delivery address as the receiver, and one parcel per line sized from the product's stored dimensions. Check it, pick the carrier and service, submit. myWork books the waybill and schedules the collection.
Record waybill — the customer or a third party arranged their own collection. Pick the carrier, type in the waybill number, save. Nothing is booked and nothing is paid; myWork just tracks it and shows it on the shipment.
A sales shipment carries one live courier at a time — the goods go once. Cancel the existing consignment if you need to re-book.
Once booked, a waybill tag and Print Waybill appear on the shipment (management page and floor screen alike), so the label can be printed without leaving the record. Download gives the PDF; Print via service sends it to a LAN label printer.
The full courier flow — direction, statuses, tracking, which carriers — is in Couriers & Waybills. Aramex's own services and error messages are in Aramex.
Common errors and fixes
"Shipment SS-000xxxx can't be collected: it is still Parked — place it first, then collect." — exactly what it says. The shipment is a draft and holds no stock. Place it first. See Shipping & Receiving statuses: Parked, Placed, Dispatched.
"Not enough free stock in Stores to collect this…" — the product is already promised elsewhere. See Why a shipment says "Not enough free stock".
"All items already in dispatched, placed or parked shipments." — the Sales Order's stock is already fully allocated to other shipments. Wait for one of them to dispatch and free up the hold, or split the SO.
"Picking Up more than required" — collect qty > planned for the line. Reduce.
"Cannot collect more than shipment qty!" — same idea, hard guard. Reduce.
"Positive qty required" — qty <= 0 entered. Enter a positive number.
"sales order warehouse is incorrect: [warehouse]" — the SO is bound to a different warehouse than where you're trying to pick. Either switch warehouses, or split the SO.
No Book courier button — the shipment is not Placed. A draft has nothing to send yet; place it first.
A carrier refuses the booking — the carrier's own reason is shown on the record (a bad postal code and an incomplete address are the usual ones). Fix the field and book again; nothing was charged.
Tips and gotchas
Place it before you ship. Stock can only be taken off the shelf onto a Placed shipment; a Parked one is refused. Once placed, the shipment holds its stock until dispatch; if you cancel, the holds release immediately.
Placing is what makes the promise real. Creating a shipment reserves nothing. Until it is placed, the stock is still free for anybody else to take.
A waybill number is worth protecting. Some carriers serve the label PDF to anyone who knows the number.
Hold allocations are first-come-first-served. If two shipments are created against an SO simultaneously, the one that saves first gets the stock; the second sees "All items already in dispatched, placed or parked shipments."
